Summary: The Administrative Assistant is responsible for performing a wide variety of office support duties for the Social & Family Services Director. This position is key to demonstrating customer service skills at the front desk, promoting a positive reflection for the department, and to keep an accurate schedule appointment book for service providers.

Essential Duties and Responsibilities including the following. Other duties may be assigned.

This position provides regular receptionist duties; entering and verifying correct payroll information, maintaining a financial satellite account, and department inventory; ordering supplies, typing correspondence, memos, and reports, as well as sorting/distributing mail.

This position is responsible in submitting target case management reimbursement.

The Administrative Assistant will work with staff, clients and general public in courteous, professional manner.

The Administrative Assistant will develop and maintain filing; prepare bills and invoices for payment, record and monitor financial activity for all Social & Family Service programs; arrange conference calls, group meetings, travel accommodations and reservations as directed; assist at meetings and conferences as required to record and transcribe minutes.

Will assist with screening calls and assisting visitors to the office for Social & family Service staff including assisting with client registration and adhere to Tribal Confidentiality Policy.

Will perform other duties as assigned by Supervisor.

Educational and/or Experience:


High School Diploma or its equivalent is required.

Due to the nature of this position excellent attendance is a requirement.

Experience with budgets, satellite account systems is required, excellent oral communication skills, especially telephone customer service skills; knowledge of computers, including word-processing software including Excel.


A Secretarial certificate or Associate of Arts Degree in Business Management is a minimum preferred.

Other Skills and Abilities:


This is a required driver position.

Must possess a valid Wisconsin driver’s license and meet eligibility for tribal insurance.

Must possess knowledge of and maintain strict compliance with the Privacy Act and Tribal Confidentiality Policy.

Must be willing and able to attend program related training.

The ability to multi-task is necessary to maintain the regular daily schedule within this department and ability to follow directives well.

Must possess ability to relate well with public and fellow employees with objectivity and courtesy, and customer service skills are required. Excellent typing skills and knowledge of formatting various correspondences such as letters, memos, reports, etc.

Background Check:

This position is contingent on ability to pass background check required. This position required for eligibility a Caregiver Background Check regarding working with children and/or elderly, and required driver check, to meet eligibility for Tribal Insurance.

Language Skills:

Good typing skills.

Reasoning Ability:

Must possess excellent communication skills.
