Summary
Northland College is accepting applications for a half-time (50% FTE) Administrative Assistant in the Registrar's Office.
The Administrative Assistant assists in the daily workflow of the Registrar's Office with minimal supervision. This person serves as the initial contact person for the Registrar's Office communicates academic policies and procedures to constituencies, and assists in maintaining data related to student enrollment. The Administrative Assistant performs these responsibilities in compliance with the Family Educational Right and Privacy Act of 1974 (FERPA) and Gramm-Leach-Bliley Act of 2003.
The work schedule varies weekly and monthly based on office needs. The greatest need is during the academic year and less need during the summer.
Position Description
Basic Requirements:
1. Be professional, positive, timely and attentive to details in all you do. This includes but is not limited to: Ø Welcome visitors and answer incoming phone calls Ø With training: know, comply with, and be able to effectively communicate the academic policies and procedures Ø With training: know and comply with FERPA regulations, strict confidentiality must be maintained at all times Ø Respond to the needs of students, parents, faculty, and administrators Ø Ask questions as needed Ø Demonstrate flexibility in work schedule to meet departmental needs. Ø Suggest changes in procedures when efficiency can be improved.
2. Assist in the daily workflow of the Registrar's Office with minimal supervision. Ø Prioritize duties so that immediate and pending deadlines can be realized. Ø Process incoming paperwork and information requests as needed. Ø Assist in maintaining student records: current and archived. Ø Maintain confidentiality and security of records. Ø Additional duties as assigned
3. Communicate with and support other offices to maximize customer services. Ø Advise other offices of student issues as directed. Ø Support the needs of other offices as appropriate to maintain efficient and positive service to students.
Responsibilities
Minimum qualifications: Ø Associate degree in administrative support, office management, or equivalent experience Ø Experience working in a Registrar's Office and/or knowledge of FERPA preferred Ø Proficiency with Microsoft Word, Excel, and database applications Ø Attention to detail, ability to manage multiple projects, and meet deadlines Ø Strong written and verbal communication skills Ø Willingly support the mission and core values of the College.
